Why This Matters

A receipt is a document three Acts have a say in

Under the Indian Stamp Act, 1899, any note that says you received money is a receipt, signed or not. If the payer asks, you must give one for anything over ₹20. Above ₹5,000 it needs a ₹1 revenue stamp, cancelled by signing across it with the date. The rate is set centrally, so it is the same in every state.

Advances are the second trap. If you are GST-registered and a customer pays before the supply, section 31(3)(d) of the CGST Act asks for a receipt voucher with the details in Rule 50: your GSTIN, the tax rate and amount, and the place of supply for an inter-State sale. A plain money receipt does not carry them. Our proforma invoice pack includes a receipt voucher.

Cash is the third. Section 186 of the Income-tax Act, 2025 bars receiving ₹2,00,000 or more in cash from one person in a day, against one transaction or for one event. A wholesale order paid ₹1,50,000 in cash on Tuesday and ₹90,000 on Thursday crosses it, though neither day does. The register adds up the cash against one invoice, whatever the day.

A receipt also closes the loop on what is still owed. Type the invoice number on each receipt, and the invoice amount on the first, and the register shows the balance left, the same figure our guide to getting accounts receivable paid faster starts from.

Common Mistakes

7 Receipt Mistakes Small Businesses Make

01

Splitting a payment to skip the stamp

Two receipts of ₹4,000 for one ₹8,000 payment, written to stay under ₹5,000, is what section 65 of the Stamp Act fines.

02

Leaving the stamp uncancelled

A revenue stamp left uncancelled counts as no stamp, under section 12. Sign or initial across it, with the date.

03

Giving only a money receipt for an advance

If you are GST-registered, an advance needs a receipt voucher with the Rule 50 details. Once your GSTIN is filled in, the register flags every advance.

04

Tearing out or reusing a receipt number

Mark a wrong receipt Cancelled and keep both copies. A gap in the numbers is hard to explain later.

05

Writing a cheque receipt as if it has cleared

Add "subject to realisation" to a receipt for a cheque or draft. The receipt sheet adds it for you.

06

Taking a large order in cash, in parts

Cash against one invoice is added up, whatever the day. ₹1,50,000 and ₹90,000 on two days is ₹2,40,000 under section 186.

07

Leaving out the UPI or bank reference

Without the UTR or UPI reference, a receipt cannot be matched to the bank statement, which is how payment reports stop matching.

FAQ

Frequently asked questions

What is the format of a money receipt?
A money receipt carries the business name and address, a receipt number, the date, who paid, the amount in figures and in words, how it was paid with the cheque number or UTR, what it was for, and a signature. Above ₹5,000 it carries a ₹1 revenue stamp. For the words, our amount in words converter works for one figure; this workbook writes them on every receipt, two copies to a page.
Is a revenue stamp required on a money receipt?
Yes, when the amount is more than ₹5,000, under Article 53 of Schedule I to the Indian Stamp Act, 1899. The duty is ₹1, and the stamp must be cancelled, usually by signing across it with the date. Some receipts are exempt, such as one for a gift or donation where nothing is given in return. This page is general guidance, not legal or tax advice; ask your accountant about a receipt you are unsure of.
Is a money receipt the same as a receipt voucher under GST?
No. A receipt voucher is the GST document for an advance, under section 31(3)(d) of the CGST Act, and Rule 50 lists what it must show, including your GSTIN and the tax. A money receipt acknowledges any payment, including one against a tax invoice you have already issued. For a cash sale at the counter, the cash memo covers which GST document to hand over.
How much cash can a business receive against one bill?
Section 186 of the Income-tax Act, 2025 bars receiving ₹2,00,000 or more in cash from one person in a day, in respect of a single transaction, or for one event or occasion, and section 451 allows a penalty equal to the sum received. A loan of ₹20,000 or more must not be taken in cash either, under section 185. This is general guidance; check a flagged receipt with your accountant.
Can I cancel or change a receipt?
Do not edit or delete a receipt you have handed over. Mark it Cancelled, keep both copies, and give a fresh receipt with the next number. GST asks for invoice and voucher numbers to run in a consecutive series for the year, and receipts kept the same way are easy to check. The balance on an outstanding invoice then stays right.
