Why This Matters

The Attendance Problem Every Indian Business Faces

Your cook didn't show up today. Was he on approved leave? Does he have any casual leave left? Nobody's sure, because the attendance register is a notebook stuffed in a drawer.

Sound familiar? Most Indian SMEs with 10-50 employees still track attendance on paper. Or worse, they don't track it at all. The result: salary day turns into a guessing game. HR spends hours calling managers, checking WhatsApp messages, and reconciling who was present when.

Common Mistakes

7 Attendance Tracking Mistakes Indian Businesses Make

No written leave policy

Without a documented leave policy, every leave request turns into a negotiation. Employees don't know their entitlements. Managers approve inconsistently. Put CL, SL, EL quotas in writing. This template includes a configurable Leave Policy sheet as a starting point.

Not tracking earned leave accrual

EL isn't granted on day one. Under the Factories Act (Section 79), an employee must work 240 days in a year to qualify for 15 EL the next year. Many businesses grant all 15 EL upfront, which creates issues if the employee leaves early. Use a leave encashment calculator to estimate the payout liability.

Ignoring state-specific leave rules

CL and SL quotas vary by state. Maharashtra's Shops & Establishments Act provides 8 days SL. Karnataka provides 12. Delhi provides 12 CL. Using a generic policy across all states puts you at compliance risk.

Paper attendance register with no backup

A soggy notebook or a torn register is all it takes to lose 6 months of attendance data. Maintain digital records (this template, for instance) alongside any physical register. Keep backups on cloud storage.

Not differentiating authorised vs unauthorised absence

An employee who took approved CL and an employee who didn't show up without notice are very different situations. Using a single "Absent" code for both means you can't identify patterns of unauthorised absenteeism. For field teams, field employee tracking apps add GPS verification on top of attendance codes.

Salary paid without attendance reconciliation

If salary is processed without checking attendance, you might pay for days an employee wasn't present. Or worse, deduct for days they were. Always reconcile attendance before payroll runs. The Monthly Summary sheet here gives you payable days per employee.

Not accounting for maternity and paternity leave

The Maternity Benefit Act (amended 2017) provides 26 weeks of paid leave for the first two children. Not factoring this into leave tracking, or treating it as LWP, is a legal violation. How many employees can this tracker handle?
The template supports up to 50 employees per sheet. All formulas, conditional formatting, and data validations extend to row 54. If you have more than 50 employees, duplicate the Monthly Attendance sheet for additional batches, or consider switching to Petpooja Payroll for unlimited employees with biometric integration.
Is this template compliant with Indian labour law?
The template follows leave entitlements from the Factories Act, 1948 (Section 79 for earned leave), Shops & Establishments Acts (state-wise CL/SL), and the Maternity Benefit Act, 2017. However, leave quotas vary by state. Check your state's S&E Act and update the Leave Policy sheet accordingly. The default values (CL: 7, SL: 7, EL: 15) are safe starting points for most states. Can I use this for non-restaurant businesses?
Yes. This template is industry-agnostic. The sample data includes employees across departments like Operations, Finance, HR, Warehouse, Sales, and Production. Leave codes and policies follow Indian labour law, which applies to all industries. Whether you run a clinic, retail store, factory, or corporate office, the tracker works the same way. How do I handle carry-forward leave at financial year-end?
At the start of a new financial year (April), update the "Opening Balance" column in the Leave Balance sheet. For Earned Leave, carry forward the closing balance (up to 30 days in most states). For Casual Leave, most states don't allow carry-forward, so reset to the full annual quota. Sick Leave carry-forward depends on your state's rules. The Leave Policy sheet notes which types allow carry-forward. Employees can also access their leave balances and apply for leave through an employee self-service portal.
