Joining Letter
Meaning, Format & How It Works
4 min readEvery new hire in India signs a small stack of paperwork on day one, and the letter usually sits near the top.
What Is a Joining Letter?
A joining letter is the short note an employee hands over that first morning, confirming they have reported for duty on a set date, in a set role, and accept the terms of their appointment letter. HR files it as proof of when the job began.
The label is a little slippery: some firms use it for the employer’s own appointment-confirmation note too. Either way the anchor holds, one fixed date of joining that HR and payroll build on.
What It Includes
Anatomy of the Letter Joining Letter Date of joining Designation Department and reporting manager Work location Appointment letter reference Acceptance and employee signature The six parts the letter usually carries.Strip it down and the letter is a handful of fields, each doing one job. One page is plenty; anything longer belongs in the appointment letter, and Petpooja’s joining letter format and template lays out a ready structure.
| Component | What it states |
|---|---|
| Date of joining | The single most important entry |
| Designation | The role being taken up |
| Reporting manager and location | Who the person reports to, and the branch or site |
| Appointment letter reference | The letter number and date whose terms are accepted |
| Acceptance line | A sentence confirming the person accepts the role and terms |
| Signature and date | Signed off by the employee on the day |
Joining Letter Example
Here is an illustrative example. The names and figures are invented to show the layout, not taken from a real file.
Picture a textile unit in Coimbatore taking on a production supervisor. The letter might read: date of joining 12 August 2025, designation Production Supervisor, department Weaving, reporting to the Floor Manager, work location the Peelamedu site, annual CTC Rs.4,37,400, reporting time 9 am on the first day. HR files the signed copy, and payroll treats 12 August as the month’s start date, so a mid-month join is paid for 20 days, not the full 31. A free CTC calculator breaks a figure like that annual CTC into its monthly parts.
Joining Letter vs Appointment Letter
People muddle the two constantly. The appointment letter is the binding contract; it just marks the start.
| Aspect | Appointment letter | Joining letter |
|---|---|---|
| Purpose | Sets the full terms of the job | Confirms the person has started |
| Contents | Salary, notice period, probation, duties | Date of joining, role, acceptance |
| Timing | Issued on or before joining | Handed over on day one |
| Binding? | Yes, a contract | No, a dated record |
Why the Joining Date Carries Weight
The date is not a formality. An employee’s PF and ESI enrolment hangs on when they actually start, and the gratuity qualifying period and leave accrual count from the same day. That PF record is filed with the Employees’ Provident Fund Organisation, so it needs to be right the first time.
There is a paper-trail side too. Many state Shops and Establishments Acts want employers to keep joining and appointment records, and when an exit or a dispute surfaces years later, this one letter settles when employment began.
Let the Software Handle the Joining Date
Lock the date once and the rest is downstream: salary proration, PF and ESI setup, the probation clock, and leave accrual all key off it. Attendo (formerly Petpooja Payroll) ties the joining date straight into attendance and salary, and gives each hire an employee code that stitches their records together.
Across 40,000+ Attendo clients, the pattern we see most is bulk hiring before peak seasons, so the tool lets you add staff in batches instead of keying them in one by one.
Frequently Asked Questions
Is a joining letter legally required in India?
There is no central law that names it. Appointment letters are a different story, the Occupational Safety, Health and Working Conditions Code, 2020 makes those mandatory, and state Shops and Establishments Acts want both kept on file. Skip the paperwork and you leave holes in your PF, ESI, and audit trail.
What is the difference between an offer letter and a joining letter?
Timing, mostly. The offer letter goes out first and puts the job on the table, often subject to a document check. It arrives at the finish line and confirms the person has started, so one is a proposal, the other a record.
Who signs it, the employer or the employee?
Usually the employee, since it is their confirmation of reporting for duty, and HR countersigns or stamps it as received. When a firm issues an employer-side version, the authorised signatory signs it instead.
Can a joining date be changed after the letter is issued?
Yes, if both sides sign off before the person starts. The employer reissues the letter with the new date, since payroll, PF, and probation all lean on that entry being right.
