What Is a Void Bill?
Cancelling a bill and erasing one are not the same move.
A void bill is a bill cancelled so that it carries no value, while the record of it stays in the system along with the reason and the person who did it. The number is spent, the amount reads zero, and nothing quietly disappears.
Indian counters void bills all day. A wrong table, a duplicate punch, a guest who leaves before paying.
What a Void Leaves Behind
A good void is noisy on purpose. Four things should survive it:
- The bill number, still consumed, so the sequence has no gap
- A zero value against that number
- The reason, picked or typed rather than assumed
- The user and timestamp, so a manager can ask about it
That last pair is why voids belong in your daily read of POS billing. Void counts are a well-worn route for skimming, and billing discrepancies head our list of employee thefts to watch for.
Void vs Delete
These get used interchangeably at the counter, and they are opposites.

A missing bill number is what an auditor notices first, since Rule 46 wants a tax invoice to carry a consecutive serial number unique for the financial year. An order cancellation undoes the order behind the bill, so the two often happen together but are logged separately.

A pharmacy counter or a hotel front desk runs the same discipline, and only the reason codes change.
The pattern we watch for is not the single void. It is one till carrying most of them.
When a Void Is No Longer an Option
A void works while the bill is still yours to change. Once it has been reported to the government, it is not.
For an ordinary counter bill to a walk-in customer there is no e-invoice, so nothing has been reported and a same-day void is the normal route. Where an e-invoice was raised, the rules tighten: the IRN can be cancelled within 24 hours and not partially, that invoice number cannot be reused afterwards, and an active e-way bill has to go first.
After the window, the correction is a GST credit note under Section 34, not a void. The bill stands, and a second document cancels its value.
That route closes too. Section 34(2) requires the credit note declared by 30 November after the financial year of the supply, or the date you file that year’s annual return, whichever falls first.
