What Is a Trial Balance?
Every set of books gets one honest health check before anyone writes a financial statement.
A trial balance is a working list of every ledger account balance on a given date, with debits in one column and credits in another, totalled to confirm the two sides agree. Indian companies can produce one at all because section 128 of the Companies Act 2013 requires books to be kept on a double-entry basis.
It proves the books balance. It does not prove they are right, and the space between those two sentences is where careful reading earns its money.
What a Trial Balance Contains
Three columns and nothing decorative.
| Column | What goes in it |
|---|---|
| Account | Every ledger head with a balance on that date |
| Debit | Assets, expenses, purchases, drawings |
| Credit | Liabilities, capital, income, sales |
Total debits = total credits
Balances come straight from the general ledger, which in turn is built from your journal entries. Nothing is recalculated at this stage, which is exactly why the exercise is worth doing: if the totals disagree, the fault is already sitting in the books behind it.
Difference Between a Trial Balance and a Balance Sheet
People swap the two names constantly. They do different jobs.
| Aspect | Trial balance | Balance sheet |
|---|---|---|
| Purpose | Internal arithmetic check | Statutory statement of position |
| Covers | Every account, including income and expenses | Assets, liabilities and equity only |
| Audience | Accountants and auditors | Shareholders, lenders, the registrar |
| Format | No prescribed layout | Schedule III of the Companies Act |
It is not one of the financial statements at all. Section 2(40) of the Act lists the balance sheet, the profit and loss account, the cash flow statement, the statement of changes in equity and the notes; this is the working paper that gets you there rather than a document anyone files.
Trial Balance Example
Here is an invented one for a small trading business in Kalbadevi, Mumbai as at 31 March 2026.
| Account | Debit (Rs.) | Credit (Rs.) |
|---|---|---|
| Cash | 84,500 | |
| Stock | 3,12,000 | |
| Debtors | 1,46,800 | |
| Creditors | 2,08,300 | |
| Capital | 4,50,000 | |
| Sales | 9,25,000 | |
| Purchases | 6,74,200 | |
| Rent | 1,08,000 | |
| Salaries | 2,57,800 | |
| Total | 15,83,300 | 15,83,300 |
Note: this is an invented example for illustration only. The business, the account heads and every rupee figure are made up to show a tallied format.
Both columns land on Rs.15,83,300, so the arithmetic holds. Empty cells are normal here: an account sits on one side or the other, never both.
Errors a Trial Balance Will Not Catch
A tallied sheet is reassuring and slightly misleading. Five classic mistakes survive it untouched.
- Error of omission. A transaction never entered at all, so neither side moves and the totals still agree.
- Error of commission. The right amount posted to the wrong account of the same type, such as one debtor credited instead of another.
- Error of principle. Capital spending booked as a revenue expense, which balances perfectly while misstating profit.
- Compensating errors. Two mistakes of equal size on opposite sides, quietly cancelling each other out.
- Error of original entry. The wrong figure written into both the debit and the credit, so it tallies at the wrong number.
In the expense data we do see, the costliest is the error of principle, because it flows straight into the profit and loss report and nobody questions a statement that balances. Reading the cost side properly is a separate discipline, covered in this guide to controlling costs and boosting profit.
Section 128 requires companies to keep books for at least eight financial years, so a misclassification can sit there a long time. The full text is on India Code.
Feed Your Ledgers Clean Numbers
No billing package prints a trial balance for you, and Petpooja does not claim to. What it can do is stop bad numbers reaching the ledger in the first place.
For retail businesses, Petpooja Invoice handles bookkeeping and expense categorisation, produces detailed P&L statements, tracks GST liability down to the cash ledger balance, and offers integration with your accounting system, which is where that working paper gets drawn. That combination is what the best retail billing software should be doing before month end, not after.
For restaurants, Petpooja POSS plays the same role at the counter, with reports on day-end sales, staff actions and inventory consumption across 80+ business reports.
For a head start on the statement that follows, this P&L statement template and this profit margin calculator are the practical next steps.
Frequently Asked Questions
No. Section 2(40) of the Companies Act 2013 lists the balance sheet, profit and loss account, cash flow statement, statement of changes in equity and notes; it is a working paper rather than a filed document.
Unadjusted, adjusted and post-closing. The unadjusted one comes straight off the ledger, the adjusted one follows period-end entries such as depreciation, and the post-closing one is drawn after the income and expense accounts are closed.
Check for a transposition first, because a difference divisible by nine usually means two digits were swapped. If the gap survives that, accountants park it in a suspense account and trace the entries rather than force the totals.
Not on its own. Omissions, misclassifications and compensating errors all balance perfectly, which is why a review of what sits in each ledger matters more than the totals at the bottom.
At least eight financial years preceding the current one, under section 128 of the Companies Act 2013. Where a company is younger than that, it keeps records for every year it has existed.
