Retail billing software is the program a shop uses to turn a counter sale into a priced, tax-correct invoice, and to record that sale against stock, customer and tax registers at the same time. In India that invoice has to carry the particulars set out in Rule 46 of the CGST Rules, which is why the software does far more than a receipt printer.

What GST Expects From Your Billing Software

This is what decides whether a cheap system is actually cheap. A till that prints a running total is not issuing a tax invoice, however official the slip looks.

Run your shortlist past a GST return filing checklist and check that it can:

  • print a tax invoice with your GSTIN, the invoice serial and the HSN on each line
  • hold a different tax rate per item, not one blanket rate for the shop
  • produce sales data matching what you report at GST return filing
  • raise an e-way bill when a consignment crosses the value limit
  • generate an e-invoice once your turnover crosses Rs.5 crore

That last one trips people up. E-invoicing has applied at Rs.5 crore aggregate turnover since 1 August 2023 and the government e-invoice portal issues the IRN, but it covers B2B sales, exports and supplies to SEZs. Counter sales to walk-in customers stay outside it.

Frequently Asked Questions

Is retail billing software the same as accounting software?

No. Billing software creates the sale document and the records behind it, while accounting software turns those records into books. Many retail systems export straight into an accounting package.

Do small shops need GST billing software?

Registration becomes compulsory once turnover crosses Rs.40 lakh for a business supplying only goods in a normal category state, and Rs.20 lakh in the special category states. Some shops must register whatever their turnover, including those selling through e-commerce platforms.

Can retail billing software work without the internet?

Offline, yes on the systems that support it. Billing continues during an outage and syncs once the connection returns, which matters more in Indian retail than most demos let on.

Does a retail shop have to generate e-invoices?

Only if its aggregate turnover has crossed Rs.5 crore, and even then the rule covers B2B sales, exports and supplies to SEZs. Everyday counter sales to consumers sit outside it.
