What Is a Payment Reminder?

Nobody enjoys asking a customer for money.

A payment reminder is a scheduled message telling a customer that an invoice is due or already overdue, stating the invoice number, the amount and the due date, and asking for payment by a named date. It works as a sequence rather than a single awkward phone call, moving from a polite nudge before the due date to a formal notice weeks after it.

In India the clock is not only commercial. Micro and small suppliers have a statutory payment window under the MSMED Act, 2006, which gives a reminder more weight than a request for a favour. Until it clears, that bill sits in accounts receivable earning nothing.

When to Send Each Reminder

Send the first one before anything is late. A heads-up seven days ahead is not chasing, it is admin, and it removes the excuse that the invoice due date was missed.

Every reminder, however polite, carries four things:

  • The invoice number and date, so nobody has to search for it.
  • The exact amount outstanding, not the original invoice total if part has been paid.
  • A named payment date, not “at the earliest”.
  • How to pay, including the account details.

A reminder assumes an oversight. A notice assumes a refusal.

Sending a notice on day 8 burns a customer who was simply slow. Sending a reminder on day 90 tells them nobody is watching, which is why the ladder matters.

Here is what a day-7 reminder to a supermarket buyer might look like.

Why a Late Reminder Costs More Than the Invoice

GST does not wait for your customer. Output tax falls due on the invoice date under the time of supply rules, so you fund the tax before collecting it, and the GST payment liability template shows the size of that gap.

The law is on the supplier’s side more than most owners realise. Section 15 of the MSMED Act, 2006 requires buyers to pay micro and small suppliers within 15 days of accepting the goods where there is no written agreement and 45 days where there is, and Section 16 adds compound interest at three times the RBI bank rate once that limit passes. Unresolved cases go to MSME Samadhaan.

March reminders land harder for a reason. Under Section 43B(h) of the Income Tax Act, a buyer who still owes a registered micro or small supplier on 31 March loses the deduction for that expense in the year it arose. Mentioning that date politely moves invoices three earlier reminders did not.

Frequently Asked Questions

How soon after the due date should the first reminder go?

Day one, and ideally a week before it as well. Waiting a fortnight signals that your dates are soft, and by then the invoice has usually slipped behind whatever arrived after it.

Can I charge interest on a late payment?

If your contract carries a late payment clause, yes. For registered micro and small suppliers, Section 16 of the MSMED Act applies compound interest at three times the RBI bank rate regardless of what the contract says.

Is a payment reminder the same as a dunning letter?

Broadly, yes. Dunning is the older accounting word for the same escalating sequence, and Indian businesses more often say reminder or follow-up. The mechanics do not change.

Should reminders go by email or WhatsApp?

Whichever your buyer actually reads, though keep email as the written trail. A message that gets seen beats a formal one that sits unopened in a shared inbox.

What if the customer disputes the invoice after a reminder?

Stop the ladder and resolve the dispute first. Reminders sent against a contested bill damage the relationship without moving the money, and proper due date tracking should flag the dispute rather than keep escalating.
