What Is an MIS Report?
Year-end accounts tell you how the business did, usually months after anything can be done about it.
MIS stands for Management Information System. An MIS report is a short periodic summary, usually monthly or weekly, that puts a business’s key numbers (sales, margins, stock, dues and cash) on a few pages for the people who run or fund it. In India, owners, partners and lenders read it to act before the audited accounts arrive.
MIS Report Format: What Goes Into It
There is no fixed format, and that is the point. Each business picks the handful of numbers it actually steers by, then tracks the same ones every month so the trend shows. Most packs draw on five sections:
| Section | What it shows | Who reads it |
|---|---|---|
| Sales | Revenue by outlet, category or salesperson | Owner, sales head |
| Margin | Gross margin and the main cost lines | Owner, partners |
| Stock | Closing stock, slow lines, days of cover | Owner, lender |
| Dues | Customers past 30, 60 and 90 days | Owner, accountant |
| Cash | Cash and bank balance, upcoming payments | Owner, lender |
Each number in these sections works as a KPI (key performance indicator), and a KPI means little alone, so useful packs show this month beside last month or the budget.
MIS Report vs Financial Statements
Both come from the same books, which is why people mix them up.
| Aspect | MIS | Financial statements |
|---|---|---|
| Purpose | Run the business | Report the results |
| Format | Your own choice | Schedule III for companies |
| Frequency | Weekly or monthly | At least yearly |
| Audited | No | Companies, and others above set limits |
A monthly profit and loss report often sits inside the pack. But the pack adds what statutory accounts leave out: stock that has not moved, customers who have stopped paying and how much cash covers next week.
MIS Report Example
A hardware and mining spares distributor near Bank More in Dhanbad closes September 2026 with this one-page summary.
Note: this is an invented example for illustration only. The distributor and its figures are not real.
Read together, the lines tell one story. Sales fell, stock rose by over six lakh rupees and slow payers grew, so cash fell by Rs.2,35,100, about 43%. The owner’s action for October is plain: slow down purchase orders and chase the three biggest overdue accounts.
How to Build a Monthly MIS Pack
Start small. A one-page pack gets read, while a 20-page pack gets filed.
- Pick five to eight measures you would act on, and drop the rest.
- Fix a closing date, such as the 5th of each month, and stick to it.
- Pull every figure from your billing and accounting records rather than retyping it.
- Show last month or the budget beside each number, with the change.
- Add two or three lines of comment on what moved and what you will do.
A chain with several outlets can start from our multi-location sales consolidation template, and this list of restaurant reports worth watching suggests what to include for a food business.
If you borrow on cash credit, your bank may want stock and debtor figures too. The limit you can draw is tied to the value of your stock and receivables, because RBI’s credit risk directions for commercial banks treat cash credit as a working capital facility linked to the value of the borrower’s current assets.
That is why most sanction letters ask for a monthly or quarterly stock statement, checked later in a stock audit.
See the Numbers Behind Your MIS Report
Your monthly pack is only as fast to put together as the business reports it is built from.

For retail businesses, Petpooja Invoice offers Business Intelligence Reports with sales performance analysis and category and product level insights, alongside Profit and Loss Reports, a Balance Sheet and AR/AP Reports, and lets you export and share data in various formats.
Take last month’s pack and count how many figures someone still typed in by hand.
Frequently Asked Questions
Management Information System. In business use, the term usually means the regular summary of key numbers prepared for owners and managers.
Not under any general law. It becomes a requirement only when a lender, investor or franchisor writes it into your sanction letter or agreement. Banks lending on cash credit, for example, usually ask for a monthly or quarterly stock statement.
Monthly suits most small businesses. Restaurants and retail chains with daily swings often add a short weekly sales and cash page.
Timing and judgement. A dashboard shows live numbers on a screen, while the report freezes a period, compares it and adds comments on what to do next.
