Half-Day Leave: Meaning, Rules & How It Works in India

What Is Half-Day Leave?

Half-day leave is an authorised absence for one half of a working day, where 0.5 days get deducted from the employee’s leave balance instead of a full day. Under the Factories Act, 1948 and most state Shops & Establishments Acts, leave quotas are prescribed in full days only, so half-day is a policy-level decision each employer adds on top. The workday splits at a fixed cut-off, usually 1 PM or 2 PM, and the employee stays present for the remaining half.

A doctor’s appointment in Indore at 10 AM or a parent-teacher meeting in Vadodara at 3 PM does not justify burning a whole earned leave day.

How Does Half-Day Leave Work?

Leave types that typically allow half-day:

  • Casual leave — almost always permitted
  • Earned leave — usually permitted, though some organisations restrict EL to full-day blocks
  • Sick leave — varies; a few state rules demand a medical certificate for any sick leave claim, and writing one for a half-day absence feels odd to most doctors

How your company handles each type should be spelled out in its leave management policy.

The cut-off time is where things fall apart. Say your policy states “first half ends at 1:30 PM” and someone clocks out at 1:47 PM. They exceeded the first half. Without a clear split configured in attendance, payroll math drifts. If you are still tracking shifts on paper, this staff shift schedule template is a decent starting point. Across 30,000+ Payroll clients, the pattern we see most is managers approving half-days over WhatsApp, nobody updating the leave register, and the mismatch surfacing at month-end.

How to Calculate Half-Day Leave Deduction

Rs.0. That is the salary impact when the employee still has paid leave in the bank. The 0.5 comes off the leave balance, not the payslip.

Once that balance hits zero, the half-day turns into 0.5 days of Loss of Pay (LOP). The formula is short:

Half-Day LOP = (Monthly Gross Salary / 30) x 0.5

Whether your company divides by 30 or by actual calendar days depends on internal policy. Check with your CA before assuming. Petpooja’s free salary calculator can verify the breakup.

Half-Day Leave Example

This is a hypothetical example for illustration purposes.

Rohan, a warehouse supervisor at a textile wholesaler in Surat, checks his April 2026 leave balance: CL 2, EL 6, SL 3. On 14 April he needs the morning off for a vehicle registration appointment at the Varachha RTO, so he applies for first-half casual leave.

He walks in at 1:30 PM and works the second half. His attendance log reads “half-day present.” Had his CL balance been zero, that 0.5 would have become LOP, costing roughly Rs.410 on a gross of Rs.24,600.

Why Does Half-Day Leave Matter for Indian SMEs?

Picture a 12-seat restaurant in Koramangala during Friday lunch rush. One full-day absence means a server short. Half-day leave would have kept that person on the floor from noon onward. Retail stores on weekends, manufacturing units with fixed batch timings, hospital OPD desks: same logic.

Then there is the compliance piece. If your leave policy says nothing about half-day leave but a floor manager informally grants it, the attendance records and leave register will not match. During a labour inspection or PF audit, that gap raises questions nobody wants to answer. At Petpooja, we have seen SMEs in Nagpur and Rajkot get flagged for exactly this.

How Petpooja Payroll Handles Half-Day Leave

Petpooja Payroll lets you configure half-day leave per leave type. Managers approve from the mobile app, the system pulls 0.5 from the right bucket, and any LOP fraction flows into payroll without manual correction. The leave and attendance module syncs with biometric or geo-tagged punch data, so the first-half/second-half split is recorded to the minute.

Frequently Asked Questions

Is half-day leave a legal right in India?

No. Indian labour statutes prescribe leave in full days only. Half-day is purely an employer policy.

Can half-day leave be taken against sick leave?

It depends entirely on your company’s internal rules. Some organisations allow it; others insist sick leave be taken in full-day blocks because a medical certificate for a four-hour absence is, frankly, impractical.

What happens if I take a half-day but have no leave balance?

Rs.410 gone, roughly speaking. The 0.5 day becomes Loss of Pay. On a gross salary of Rs.24,600 using the fixed-30 divisor, half a day’s wages comes to about that amount.

Does half-day leave affect PF and ESI calculations?

Only when the half-day triggers LOP. Paid half-day leave keeps your gross salary untouched, so PF and ESI do not change. LOP reduces gross pay, and that lower base feeds into both calculations for the month. Use this PF & ESI compliance checklist to verify deductions.

How is half-day leave recorded in attendance systems?

Most payroll software stamps the day as “HD” or “half-day present.” The system checks punch time against the configured cut-off and deducts 0.5 from the relevant leave bucket.
